Describe the room before describing the price
A useful painting estimate lets a homeowner picture the finished work and check what they are paying for. Start with the project, the customer and the surfaces included. “Bedroom repaint” leaves more room for disagreement than “Prepare and repaint the four bedroom walls and inside closet walls; two finish coats in one selected color.”
For this fictional example, the painter has inspected the room, checked access and chosen quantities for this specific job. The customer will move small possessions before work begins. The painter will protect the remaining furniture and floor, fill minor nail holes, spot-prime those repairs and apply the agreed finish. Those details belong in the written scope, even when the customer already heard them on site.
Show how the US$840 estimate is built
Separate labor from materials so the arithmetic can be followed. This example uses 12 labor hours at US$55 per hour and a US$180 materials allowance. These are invented figures for explaining a document, not recommended rates, coverage quantities or a prediction of how long another bedroom will take.
The sample includes no discount, tax or payment already received. State the actual tax treatment and any agreed adjustments for your own job instead of copying that assumption. Also explain whether the amount is a fixed quoted price or an estimate that may change under specified conditions. A table alone does not establish that distinction.
| Description | Quantity | Unit price (USD) | Amount (USD) |
|---|---|---|---|
| Preparation and painting labor | 12 hours | $55.00 | $660.00 |
| Paint and job supplies allowance | 1 allowance | $180.00 | $180.00 |
| Illustrative total | $840.00 |

Write exclusions that answer the next question
The example covers walls, not the ceiling, doors or trim. Major plaster repairs, moisture damage and moving heavy furniture are excluded. If your quote depends on the existing coating being sound or the customer choosing from a specified paint range, say that plainly. An exclusion should identify a boundary, not hide it in a paragraph the customer is unlikely to read.
For a materials allowance, explain how a different selection will be handled before ordering. Keep a written record of the agreed color, finish and product once selected. If those choices alter the price, discuss and document the difference instead of treating a color conversation as approval of an unspecified cost.
- Identify each included room and surface.
- Describe preparation, protection and cleanup.
- State the coats, finish and selection assumptions.
- List excluded repairs and surfaces explicitly.
Separate the schedule from the labor hours
Twelve labor hours do not necessarily mean one uninterrupted day on site. Drying, access and return visits affect the schedule. In this example, the painter proposes two working days, subject to the agreed start and access arrangements. Describe your own sequence and dependencies without presenting a sample duration as a guarantee.
Give the estimate a document number and date, and make any validity period or deposit request explicit. A requested deposit is not money received. Keep payment arrangements separate from the proposed scope so the customer can understand both.
Keep later extras separate from the accepted estimate
Suppose the customer later asks for the hallway as well. Four additional labor hours at US$55 plus US$75 in materials would add US$295 in this fictional example. Describe the hallway surfaces and any added days in a separate change order. Do not quietly replace the original US$840 estimate with a new total and lose the record of what changed.
In Adendu, estimate acceptance is recorded manually after the customer responds; estimates do not use a public approval link. A subscribed workspace can create a private client approval link for a change order. You can also create a draft change-order PDF without an account using the free tool, then share it through your own arrangements. That PDF does not itself record client approval.
Take it to the next job.
A clear painting estimate names the surfaces, preparation, assumptions and exclusions, then connects a checkable price to that exact scope.
